Job Description
This position provides administrative and secretarial support in the Clay County HHS office.
Duties:
Secretarial duties include answering telephones and responding to questions/routing callers in a professional and courteous manner; maintaining active and closed files, both hard files and electronic files within departmental computer systems; providing back-up coverage to the reception area and to other county offices as needed.
Administrative duties include monitoring inventory and ordering supplies; issuing official receipts and providing notary services; checking county email; processing local mail; assisting with travel claims for assigned employees.
This position will also assist with completing and processing invoices to assure timely payment of office expenses; monitor the budget monthly to assure adherence to line item and overall monetary parameters; participate in annual audits; maintain office and community telephone resource listings; copy, collate, and distribute documents for workers; attend all staff meetings and job-related training.
Other duties as assigned.

Minimum Qualification Requirements
Experience equal to one year of full-time clerical or closely related work;
OR
post high school course work in an accredited secretarial, business, or closely related curriculum may be substituted for the required experience on a month-for-month basis;
OR
completion of thirty (30) semester (or equivalent) hours of undergraduate college level course work may be substituted for the one year of required experience;
OR
certification from the State of Iowa Administrative Assistant Certificate Program will substitute for six months of the required experience;
OR
employees withcurrentcontinuous experience in the state executive branch that includes permanent status as a Typist–Advanced.
