Essential Job Duties:

The administrative support associate will provide a broad range of support in various areas including but not limited to advising, recruitment, and student success. This individual will serve as the office manager and first point of contact for visitors into the Center suite as well as associated virtual office hours.

Provide support to programming (planning, set-up, and break down support) for academic advising, recruitment, Teaching Fellows, student success and graduate service programs in assisting with events such as Open House, Experience NC State and New Student Orientation.

Serve as a member of the student success team and attend bi-weekly meetings each month.

Serve as liaison to the Education Council.

Assist with the administrative duties for any large student engagement event that may arise.

Key programs include:

  • College of Education’s Wolfpack Welcome Week event – includes reservations, event setup and breakdown, purchasing food and supplies.

  • Bi-annual cultural and language immersion trips (reserving trip destinations, securing transportation, hotels, venue tickets, restaurants, etc.)

  • Passport to Success program (Fall retreat, mentor lunch, meet & greet/orientation, Spring kick-off, and culminating reception.

  • Ed Council Fall Leadership Retreat, Ed Council Breakfast, and Spring Spotlight Awards Ceremony.

  • Assist with reservations, catering, purchase and picking up supplies.

    Ensure front desk coverage, welcoming students, faculty, staff, and families,

    Use knowledge of policy to field and filter inquiries via email and phone from current and prospective students, both undergraduate and graduate referring to other units when necessary.

    Serve as supervisor for the general office student worker(s) including managing front desk coverage for lunch and/or other times as needed.

    Attend meetings and keep minutes as requested by the Sr. Director for Student Success..

    Assist with preparation for meetings (i.e. folders, packets, reservations and confirmation, catering, room setup, etc.)

    Organize and manage office supply needs, create and review orders and manage budget.

    Assist with records and data management and regularly utilize University systems (i.e. MyPack/ SIS and Google applications) to monitor and update data, reports, and reserve rooms.

    Prepare reports as needed.

    Use telephone and messaging systems and liaise with College Help Desk for computing issues.

    Create, update, and manage documents using Microsoft and Google products for SSAC staff.

    Create name tags and recruiting folders

    Handle all space reservation needs from ECHS staff using Google docs

    Manage 505 conference room reservations.

Required Qualifications:

High School Diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.

Department Required Skills:

Familiarity with computing technology and Microsoft Office products.

Comprehensive understanding of university software systems that inform student progression.

With limited direction, ability to demonstrate general knowledge of university, college, and related policies and procedures.

Make appropriate and ethical decisions and assist others in making ethical decisions.

Exhibit leadership and foster an open environment for understanding and working with diverse student populations and colleagues.

Excel in detailed written and verbal communications with students, colleagues and parents.
