Job Summary

To perform clerical work for the Department of Biology. The focus is on travel arrangements and expense reimbursements. Will also process key/card access, room reservations, and plan seminar series. Ability to follow instructions and complete tasks with little supervision.

Essential Duties and Responsibilities

Submits key/card access requests on behalf of Biology employees and students. Keeps track of request and who has access to what. Maintains the Biology Conference room calendar. Processes reservation requests. Enters Travel Authorizations and makes travel arrangements, airfare, rental car, lodging, cash advances, etc. Processes travel and non-travel expense reimbursements, organizing documentation, getting exceptions, resolving issues, and tracking approval. Coordinates colloquium each semester; contacting speakers, TAs, travel arrangements, reimbursements, honorariums, reserving lecture room, preparing refreshments, sending announcements, publicizing. Coordinates faculty search events; contacting candidates, TAs, travel arrangements, reimbursements, arranging meetings, creating a schedule, reserving lecture room, preparing refreshments, sending announcements. Arranges meetings, conferences, and workshops. Makes room reservations and provides refreshment services.

Required Qualifications

High School diploma or equivalent.

Preferred Qualifications

Bachelors in a related field such as business, accounting, finance, etc. One (1) year of experience in a large academic department or similar environment. Knowledge of PeopleSoft. Excellent communication skills (written and verbal). Ability to communicate and liaise with faculty and administrators. Efficient and competent working knowledge of Microsoft Office.
